A registration that took a year or more to earn can expire quietly — and take market access with it. This is one of the least dramatic compliance risks in the pharmaceutical sector, and precisely because it is undramatic, it is one of the most commonly missed.
Registrations are not permanent
Product registrations issued by Ghana's FDA carry a defined validity period, not indefinite standing. For standard pharmaceutical products, that period is commonly five years from issue. Biological products are treated differently: FDA's specific guidelines for that category set a shorter three-year validity period. The distinction matters — a blanket assumption of "five years" applied to every product type is the kind of imprecision that leads a company to miss a renewal window it didn't know existed.
Whichever period applies, the certificate itself is the authoritative reference — confirm the actual expiry date on your registration rather than working from a general rule of thumb.
The renewal window
Renewal is not something to initiate at the expiry date. FDA guidance points to filing renewal applications well ahead of expiry — commonly at least three months in advance — to allow time for processing before the current registration lapses. Treated as a routine administrative task started early, renewal is straightforward. Treated as an afterthought, it becomes a race against a hard deadline with real commercial consequences.
Why this gets missed
Registration renewal rarely fails because a company doesn't know the rule exists. It fails because renewal dates live in someone's memory, or an old email thread, rather than a tracked calendar — and portfolios with multiple products across different approval dates make manual tracking genuinely difficult to sustain over years. The companies that never miss a renewal are the ones who treat it as a system, not a reminder to set and hope to remember.
Building a renewal calendar
The fix is unglamorous but effective: a single tracked record of every registered product, its validity period, and its renewal trigger date, reviewed on a fixed schedule rather than left to individual memory. For a portfolio of any size, that discipline is the difference between renewal being routine and renewal being a crisis.
